The journey to 22 July

Eight systems — each one a "Who": a system that does a job so it runs without depending on you. Here's the order and where each stands. If time gets tight, we finish the highest-value systems fully rather than leaving everything half-done.

Automates the dashboard your team builds by hand — the numbers pull themselves together so the weekly review runs itself.

You keep all of it. Everything is built on accounts you own (your server, your keys), backed up to your GitHub, and documented — so it runs without an ongoing dependence on me.
What we focus on first: getting it to sound like you and tuning the knowledge base. As we do that, you'll naturally come to understand the systems. What each system does and how to instruct it matters far more than the plumbing underneath — and I'll keep a running glossary so no word stays a mystery.

The quiz is a great first place to put your own stamp on things — you decide how leads are scored and what the final recommendation says and sounds like. That tuning is exactly what turns a generic tool into Ritual's. No tech needed from you: you describe how you'd score and what the report should say (in plain English), and I wire it in — you'll see it change live.

Every term that's come up, in one line each — what it is and why you'd care. This grows as we go; ask me to explain anything and it gets added here.

Knowledge Base (KB)

A single searchable library of how Ritual does everything — SOPs, voice, sales process, coaching.

Why you care: it's the brain the other systems pull answers from.

Supabase

The database that stores the knowledge base and makes it searchable.

Why you care: it's the filing cabinet — and it's smart enough to find things by meaning, not just keywords.

Hostinger (VPS)

A private server you own ("VPS" = virtual private server) where we install Supabase and other tools.

Why you care: maximum flexibility and it's yours — we can also add things like automations or a link shortener later.

Vector embeddings / RAG

The tech that lets the system search by meaning and pull the right info to answer a question or draft a reply.

Why you care: it's what makes the KB actually useful instead of just storage.

Triage Agent

An assistant that reads inbound emails and drafts replies for a human to approve.

Why you care: fast, on-brand responses without it depending on you.

BYOA — OpenRouter & fal.ai

"Bring Your Own API." OpenRouter = your own key for the AI text models; fal.ai = your own key for image generation.

Why you care: your billing, your ownership, zero lock-in to me.

Brand Story Builder

A guided process that captures the new Ritual voice, story and avatar — so outputs sound like today's Ritual, not old Fit Body.

Why you care: this is a big part of how we capture your current brand voice.

Mariana Tek (MT) & Xplor Growth (XG)

MT = your booking/CRM source of truth. XG (the old BrandBot) = the marketing/automation layer on top.

Why you care: we build around these, not instead of them — and first we switch on what you already pay for.

Cloudflare & GitHub

Cloudflare hosts your pages (like this one); GitHub safely backs up all the code.

Why you care: fast, owned, and recoverable.

How your data becomes your voice

Your concern is the right one: the scraped Fit Body / GHL bot data is unreliable and it's the old brand. So here's the honest picture — what we deliberately turn down, what we turn up, and how it ends up sounding like Ritual.

Turned DOWN discounted

  • Fit Body GHL emails/texts — the bot "went off the rails"; we treat this as unreliable raw material, not truth.
  • Old Fit Body brand voice — explicitly flagged as "not current Ritual" so the system doesn't imitate it.

We don't throw it away — we down-weight it and tell the system to discount Fit Body.

Turned UP your voice

  • Your ChatGPT export — the Zenith work ← the richest source of your real voice. You request the export from ChatGPT; we extract just the Zenith material from the JSON and feed that in.
  • Your 16 years of member emails/SMS (old FPT) — if the previous devs can pull it. Decades of real Ritual/your communication.
  • Brand Story Builder — captures today's Ritual avatar & voice directly.
  • Teams, Google Drive/Docs, the EGS knowledge base, and your own coaching/programming materials.

What happens in the middle

Each source is cleaned, tagged by how much to trust it, and turned into searchable "embeddings" (the meaning-search tech from the glossary). The good Ritual sources carry the weight; Fit Body is kept at arm's length.

The result

A knowledge base and a set of drafting tools that sound like Ritual — like you. Every email draft, every answer, every piece of copy is pulled from your voice, not a generic franchise template.

  • Priority #1 of the build is exactly this: getting it to sound like you and tuning the database.
Your homework (whenever suits): request your ChatGPT data export (so we can pull the Zenith material), and ask the old FPT dev team whether they can export your historic member emails/SMS for both locations. Those two unlock the richest "your voice" sources.
